- Handle sensitive and confidential matters with the highest level of integrity and diplomacy.
- Serve as a liaison between the CLO and internal/external stakeholders, ensuring smooth communication and follow-ups.
- Support the CLO for Board and Executive Committee matters, including agenda preparation and minute-taking.
- Maintain and coordinate the CLO calendar, resolving scheduling conflicts and ensuring optimal time management.
- Organize complex business travel arrangements, including visa logistics and itinerary planning.
- Track and process expenses and invoices with accuracy and efficiency.
- Plan and organize meetings, workshops, and events, ensuring seamless execution and participant coordination.
- Prepare reports, PowerPoint presentations, and Excel files to support CLO activities.
- Maintain organized files, records, and documentation to support efficient operations.
- Anticipate needs and proactively address challenges to support the CLO’s effectiveness.
- Exercise independent judgment to manage priorities and navigate unexpected changes.
- Continuously seek ways to improve efficiency in administrative processes.


**Required Skills & Qualifications**- A-level/high school diploma or commercial apprenticeship; further education as an Executive Assistant is preferred.
- 10+ years of experience in a similar role, preferably within large global organizations.
- Fluency in English and German is essential.
- Highly organized and detail-oriented with the ability to manage multiple priorities seamlessly.
- Discreet and professional, with a strong ability to handle confidential matters with integrity.
- Resilient and composed under pressure, ensuring seamless operations at all times.
- Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word, Teams, ARIBA, Concur).
- Strong communication skills with the ability to build trusted relationships with internal and external contacts.
- Proactive and adaptable, with a can-do attitude and the ability to respond effectively to shifting priorities.
